eBay to Xero: Managed Payments, Fees, and Clean Reconciliation

The one thing that makes eBay different

eBay charges its final value fee on the total amount of the sale, and eBay defines that total to include the item price, handling charges, shipping the buyer paid, and sales tax. You pay a percentage on money you hand straight to a carrier and on money eBay collects and remits to a state. Miss that and your eBay margin looks better on paper than it is in the bank. Everything else about mapping eBay into Xero follows the same clearing account pattern that works for every other marketplace.

The fee schedule, as eBay publishes it

From eBay's Selling fees help page, current as of July 2026, for sellers without a Store subscription:

  • Final value fee, most categories: 13.6 percent of the total amount of the sale up to 7,500, then 2.35 percent on the portion above 7,500, calculated per item
  • Per order fee: 0.40 for orders over 10.00, and 0.30 for orders of 10.00 or less
  • Books, Movies and TV, and Music: 15.3 percent
  • Jewelry and Watches: 15 percent up to 5,000, then 9 percent
  • Insertion fees: the first 250 listings per month are free, then 0.35 per listing per category
  • Dispute fee: 20.00 per dispute where you are found responsible
  • International fee: 1.65 percent of the total amount of the sale when the buyer or delivery address is outside the US and you are not using eBay International Shipping
  • Seller currency conversion charge: 3 percent for US registered sellers

Two performance surcharges also live in that schedule. An account evaluated as Below Standard on the 20th of the month pays an additional 6 percent on applicable final value fees the following month, rising to 7 percent after four or more consecutive months. A "very high" rate of item not as described return requests adds 5 percent in the affected categories, rising to 6 percent if it persists.

Those two are worth their own accounts in Xero. A performance surcharge is not a cost of selling. It is a signal, and it should be visible enough to trigger action.

eBay's own worked example, and what it hides

eBay publishes this example on the same page. A smartphone sells for a 400.00 Buy It Now price with free shipping. Including 6 percent sales tax, the total amount of the sale is 424.00. The insertion fee is 0.35. The final value fee is 13.6 percent of 424.00 plus 0.40, which is 58.06. Total fees are 58.41 and the seller keeps 341.59.

Now pull the tax out. The 24.00 of sales tax is money the seller never keeps. The final value fee charged on that 24.00 is 3.26. That is not a rounding error, it is 0.8 percent of the item price, and it is charged on every order in every state where eBay collects.

A settlement, mapped

Here is a two week eBay period for a seller running a real catalog.

  • Item sales: 84,300.00
  • Shipping collected from buyers: 9,150.00
  • Sales tax collected by eBay: 6,890.00
  • Total amount of sales: 100,340.00
  • Customer refunds: (3,780.00)
  • Final value fees, net of credits on refunds: (13,702.16)
  • Insertion fees, 625 chargeable listings at 0.35: (218.75)
  • Promoted Listings: (4,110.00)
  • Dispute fees, three at 20.00: (60.00)
  • Sales tax remitted by eBay: (6,890.00)
  • Net payout: 71,579.09

Now decompose the final value fee. At 13.6 percent, the portion charged on shipping is 1,244.40 and the portion charged on sales tax is 937.04. Together, 2,181.44 of fees on 16,040.00 that is either a pass through liability or a cost recovery. That is 2.6 percent of item sales, and on a business running a 26 percent gross margin it is a tenth of the margin.

You cannot avoid the fee. You can price for it, and you cannot price for something your books never show you.

Splitting shipping income from shipping cost is the pair most often collapsed. If a buyer pays 9,150.00 in shipping and your carrier invoices come to 11,240.00, you are subsidizing 2,090.00 of freight. Netted into one line, that fact vanishes.

The reconciliation loop

  1. Post the eBay transaction report detail against eBay Settlement Clearing, splitting sales, shipping, tax, refunds, and each fee type into its own account.
  2. When the payout arrives in the bank feed, match it against the clearing balance.
  3. Clearing returns to zero.
  4. Anything left is either funds on hold or an unmapped transaction type. Both are worth naming rather than plugging.

That loop is what the eBay and Xero connection automates, and the structure holds whether it is automated or built by hand.

Funds on hold

eBay holds payouts for new sellers, for accounts with performance issues, and around individual transactions where delivery has not been confirmed. Those amounts appear in your eBay account and not in your bank.

Post them to eBay Funds On Hold rather than leaving them inside clearing. Clearing should describe activity waiting to settle in the normal course. Funds on hold describe money eBay has decided to keep for now, which is a different conversation and often a temporary one. Keeping them apart means your clearing account still zeroes out, and the diagnostic value of that stays intact.

Sales tax

In marketplace facilitator states, eBay collects and remits. The collection and the remittance both pass through your books and net to zero in Sales Tax Payable. The residual balance in that account is what you actually owe, which is a much shorter list than most sellers expect.

That said, a balance in a liability account is not a filing position. Registration thresholds and nexus rules vary by state and change. Take the balance to a CPA or to the state's department of revenue rather than treating a Xero report as the answer.

Tracking categories put eBay in context

With Sales Channel running as a Xero tracking category, the settlement above becomes an eBay column next to Amazon, Shopify, and Walmart. Add SKU level cost of goods sold and you can finally compare like with like.

The comparison usually surprises people. eBay's headline 13.6 percent looks cheap against a 15 percent marketplace referral rate, and then the fee on shipping and tax, the insertion fees, and the Promoted Listings spend close most of the gap. Whether it closes all of it depends on your category, your average order value, and how much of your shipping cost the buyer actually covers. That is a question your own numbers answer, and the channel level profit reporting is where you read it.

  • Shipping income compared against actual carrier spend for the same period
