Definition

Advanced Inventory is an add-on module inside QuickBooks Desktop Enterprise that extends the base inventory engine with multi-site tracking, bin and lot location detail, serial and lot number tracking, FIFO costing, barcode scanning, cycle counts, landed cost allocation, and sales order fulfillment workflows.

The single fact most sellers get wrong: it is not available on every Enterprise subscription. Intuit's Advanced Inventory product page states in its footnotes that "Advanced Inventory is included in the Platinum and Diamond subscriptions only." If your firm is on QuickBooks Enterprise Silver or Gold, none of what follows is turned on in your file, and no amount of preference-hunting will find it.

What the module actually contains

Intuit's own footnotes on the same page draw tier lines around several pieces that sellers assume come standard with Enterprise:

  • Advanced Inventory: Platinum and Diamond only
  • Landed cost: Platinum and Diamond only
  • Sales order fulfillment: Platinum and Diamond only
  • Pick, pack, and ship: Platinum and Diamond only
  • Expiration dates on lots: Platinum and Diamond only
  • The Inventory Stock Status by Lot Numbers report: Platinum, Diamond, and Accountant subscriptions
  • Barcode scanners: sold separately

That list is worth reading twice before a renewal conversation, because landed cost allocation and pick-pack-ship are frequently the two features a growing seller is actually buying Enterprise for.

Multiple inventory sites

Advanced Inventory lets you define inventory sites, which are physical or logical locations holding stock. A seller with a Kentucky 3PL, a garage overflow location, and units sitting in Amazon fulfillment centers can carry three sites and see quantity on hand by site rather than one blended number.

Intuit's FAQ on the feature confirms the module "allows businesses to manage products across multiple inventory sites or locations," supports transfers between locations, and tracks stock movement per site.

Bin location tracking

Within a site, bins subdivide the shelf. Bin tracking answers "which rack is this on," not "do we own it." For a seller who picks their own orders out of a leased warehouse, it removes the zigzag walk. For a seller who is entirely FBA and 3PL, it is dead weight, because the fulfillment partner owns the bin, not you.

Serial and lot numbers

Serial numbers track individual units. Lot numbers track production batches. Enterprise supports both, and on Platinum and Diamond it will carry expiration dates against lots. Sellers in supplements, cosmetics, food, and regulated goods need this. Sellers moving commodity home goods generally do not.

FIFO costing

Advanced Inventory allows FIFO valuation instead of the average cost method QuickBooks defaults to. This is the item on the list with the largest downstream effect on your profit and loss, and the one worth understanding before you decide the module is optional.

Why FIFO changes the numbers

Consider one SKU bought across three purchase orders in 2026:

Total: 9,000 units, $76,350.00, average cost $8.483 per unit.

Now sell 4,000 units in September at $24.99 each. Gross revenue is $99,960.00.

Under average cost, cost of goods is 4,000 times $8.483, or $33,932.00. Gross profit reads $66,028.00, a 66.1 percent margin.

Under FIFO, the first 3,000 units come off the February layer at $7.10 and the next 1,000 come off the May layer at $8.40. Cost of goods is $21,300.00 plus $8,400.00, or $29,700.00. Gross profit reads $70,260.00, a 70.3 percent margin.

The $4,232 gap is not an accounting curiosity. It sits in the remaining inventory, which under FIFO is now carried at the newer, higher costs. When you sell those last layers in Q4 at the same price, your margin drops and you find out that your supplier's 40 percent cost increase since February has already eaten a real piece of your business. Average costing tells you that story late and quietly. FIFO tells you on the invoice.

What Advanced Inventory does not do for a multichannel seller

The module is built for a business that receives goods, stores them, and ships them from its own four walls. Marketplace selling breaks three of its assumptions.

It does not read your settlements. Enterprise has no idea that Amazon charged you a fulfillment fee, that Walmart reversed a sale on a return, or that TikTok Shop held a portion of the payout. Those arrive as bank deposits with no detail attached unless something translates them.

It does not reconcile marketplace-held inventory. Units sitting in an Amazon fulfillment center are yours, but Amazon's count and your count drift. Advanced Inventory has no mechanism to compare them.

It does not carry channel-level profit. You can class-code transactions to get a channel P&L, but Enterprise will not tell you that SKU 4471 earns 34 percent on Shopify and 11 percent on eBay once fees and fulfillment differ by channel.

Frequently asked questions

Can I turn Advanced Inventory on in QuickBooks Enterprise Gold?

No. Intuit's product documentation limits the module to the Platinum and Diamond subscriptions. Moving up a tier is the only path.

Does Advanced Inventory track bins inside a warehouse?

Yes. Bin location tracking is part of the module and works within an inventory site. Note that this is a level of granularity beyond what most marketplace-first sellers need, since third-party fulfillment centers manage their own bin assignments.

Does it do cycle counts?

Yes. Intuit states the module supports updating inventory in real time with cycle counts, and that mobile Android-based cycle counts are available through the QuickBooks Desktop mobile app.

How many users can Enterprise support?

Intuit states QuickBooks Desktop Enterprise supports up to 40 users, with permissions assignable across 115 individual work activities. Diamond is the tier that reaches 40; licenses are sold in increments and each user requires their own.

Will Advanced Inventory give me landed cost?

On Platinum and Diamond, yes. Intuit lists landed cost as included in those two subscriptions only. Allocating freight, duty, and inbound handling across a mixed container is a separate discipline from having the feature switched on, and it is where most sellers lose accuracy.
